This is an English translation; in case of any discrepancy with the Bulgarian version made available to users, the Bulgarian version prevails.

1. Who we are (data controller)

This Privacy Policy describes how V E N Ltd, company ID (EIK) 127624975, with registered seat and address of management at 153 Vladaysko Vastanie St., fl. 4, apt. 8, Shumen 9700, Bulgaria (“we”, “us”, the “Company”, the “Controller”), processes your personal data when you use the HouseTally mobile application (the “App”).

The Controller determines the purposes and means of processing the personal data described below. For any questions relating to data protection, you can contact us at: privacy@housetally.eu.

2. What personal data we process

We process the following categories of personal data:

2.1. Profile data

2.2. Data extracted from receipts

When you capture a receipt, the following data is extracted from the image and stored:

2.3. Derived data and analytics

2.4. Location data

We process approximate location only when you actively use a feature that requires it (for example “stores near me” or the price map), and only with your operating-system-level permission. You can withdraw this permission at any time from your device settings.

2.5. Technical data

Data on the use of the App, technical logs, error and crash reports, used for support, security and service improvement.

3. Purposes of processing and legal bases

We process your personal data for various purposes and on different legal bases under Article 6 of the General Data Protection Regulation (GDPR):

PurposeWhat it involvesLegal basis
Providing the core service Digitising receipts, extracting items, categorisation, monthly budget, personal archive, household. Performance of a contract — Art. 6(1)(b) GDPR.
Community price features Contributing the prices and items from your receipts to aggregated, anonymised community price data — the price map, store comparisons and savings suggestions — and to aggregated reports; and access to those features. Consent — Art. 6(1)(a). Off by default; you may give or withdraw it at any time — see section 13.1.
Service improvement and usage statistics Improving the quality of receipt extraction and automatic categorisation; and anonymised statistics about how the App itself is used — which screens and in-app guidance you open, and how often — used to find and fix what confuses people. Legitimate interest — Art. 6(1)(f), with a right to object at any time — see section 13.2.
Creating anonymous aggregated statistics Market shares, price comparisons, promotion effectiveness, shopping types — in aggregated form. Legitimate interest for the creation stage; the final anonymous result is outside the scope of GDPR.
Security, support and legal compliance Preventing abuse, fixing errors, fulfilling legal obligations. Legitimate interest and/or legal obligation — Art. 6(1)(f) and (c).

What we do NOT do without your separate consent: we do not use your data to train or fine-tune AI models; we do not carry out advertising profiling or direct marketing with personalised retailer offers; we do not process special categories of data for secondary purposes. For any such activity we would request separate, explicit consent.

4. Use of artificial-intelligence tools

To extract data from receipt images and for certain analyses, we use the OpenAI application programming interface (API) in a business-use mode. In doing so:

The use of AI is for categorisation and convenience and does not by itself produce legal effects for you. You can always manually correct the categories and extracted data.

5. Sensitive (special category) data

We do not intentionally collect special categories of personal data (e.g. data concerning health, religious or political beliefs). However, some purchases may indirectly suggest such information (for example purchases from a pharmacy, certain medicines, health-related products, religious or political materials).

To reduce this risk, we apply filters whereby items and merchants that are sensitive in nature are by default excluded from aggregated analytics and from secondary AI processing. You can also mark a specific receipt as “private” so that it does not take part in shared analytics.

6. Households and data visibility

The App allows users to join into a “household” via invitation and explicit acceptance. Members of the same household can view the receipts and corresponding analyses of the other members.

Before joining a household, you will be informed that your receipts may become visible to the other members. You can leave a household at any time and manage visibility, including marking individual receipts as private/hidden.

7. Who we share data with

7.1. Processors

We share data with providers that process it on our behalf and on our instructions, under agreements pursuant to Art. 28 GDPR, including:

A current list of processors and sub-processors can be provided on request.

7.2. Recipients of anonymous aggregated data

We may provide or sell to third parties (for example retailers, manufacturers, research organisations) only anonymous aggregated statistics and reports. These recipients do NOT receive raw records, images, per-receipt purchase lists, user or household identifiers, pseudonyms or row-level data.

We contractually prohibit recipients from attempting to re-identify individuals or households, from linking the data with other datasets for identification purposes, or from targeting offers at specific individuals.

7.3. Other cases

We may disclose data to competent authorities where required by law, as well as in the context of a possible reorganisation or transfer of the business, under appropriate safeguards.

8. Anonymisation and aggregation

Before we provide any information to third parties, we aggregate and anonymise it internally. We apply minimum publication thresholds, suppression of small groups, rare items and unusual combinations, as well as generalisation of dates into periods and of location to city/zone level, so that information about a specific user or household cannot reasonably be singled out, traced or inferred.

Where a result is genuinely anonymous, it no longer constitutes personal data within the meaning of the GDPR.

9. Profiling and automated decision-making

We carry out limited profiling for convenience — for example determination of a shopping style. This profiling does not produce legal effects for you and does not constitute automated decision-making under Art. 22 GDPR. You can disable personalised recommendations from the App settings.

10. International data transfers

We aim to process data within the European Union / European Economic Area. Where a provider processes data outside the EU/EEA, we ensure appropriate safeguards under the GDPR (for example the European Commission's standard contractual clauses or an adequacy decision). You can request information about the specific safeguards.

11. Retention periods

12. Your rights

Depending on the circumstances and applicable law, you have the following rights regarding your personal data:

13. Your choices about analytics

The App keeps these two choices separate, because they are different kinds of data on different legal grounds. Both live in Settings → Privacy.

13.1 Community price features — your consent (off by default)

The core service — digitising and analysing your own spending — works in full without this. It is off by default, and until you switch it on we do not use your receipt data for any of the purposes in this subsection.

With your consent (Art. 6(1)(a) GDPR) the prices and items from your receipts become part of aggregated, anonymised community price data. That is what the price map, store comparisons and savings suggestions are built from, and it is also the source of the aggregated reports described in section 3. Individual receipts, receipt images and your identity are never published or passed on.

Because these features are built out of what participants contribute, they are available to you only while this consent is switched on. Everything else in the App works exactly the same either way.

You may withdraw this consent at any time in the App or by writing to us at privacy@housetally.eu. Withdrawal is free of charge, takes effect immediately, and does not affect the lawfulness of processing carried out beforehand. Withdrawing also removes your data from the anonymous aggregated statistics and reports described in sections 7.2 and 8, including any we provide or sell to third parties. The only other consequence is that the community price features stop being available.

13.2 Usage statistics — our legitimate interest (you may object)

To find out which parts of the App confuse people, we collect anonymised statistics about how the App itself is used: which screens and in-app guidance you open, and how often. These are counts and identifiers only — they contain no receipt content, item names, amounts, merchant names or free text — and they are never used to build a commercial profile of you, never used for advertising, and never passed to third parties.

We do this on the basis of our legitimate interest in improving the App (Art. 6(1)(f) GDPR), having weighed it against your interests and concluded that data of this kind, at this level of detail, does not override them.

You may object at any time (Art. 21 GDPR) by switching off “Usage statistics” in Settings → Privacy, or by writing to us at privacy@housetally.eu. No reason is required, there is no cost, and nothing else about the App changes. When you object we stop collecting immediately and delete the statistics we have already collected about you.

14. How to exercise your rights

Much of the control is available directly in the App — household visibility settings, deleting a receipt, deleting a profile, giving or withdrawing your community price consent, objecting to usage statistics, and managing personalisation. You can also contact us at privacy@housetally.eu. We respond within one month, which may be extended where necessary in accordance with the GDPR.

15. Children

The App is not intended for persons under 18 years of age. We do not knowingly collect personal data of children below this age. If we become aware of such processing, we will take steps to delete the data.

16. Complaints to a supervisory authority

If you believe that the processing of your personal data infringes the law, you have the right to lodge a complaint with the Commission for Personal Data Protection (CPDP), Sofia 1592, 2 Prof. Tsvetan Lazarov Blvd., or via the Commission's website. You also have the right to complain to the supervisory authority of your habitual residence.

17. Changes to this policy

We may update this Policy from time to time. For material changes we will notify you through the App or by other appropriate means. The current version is always available in the App with the date of last update.
